Finance & Collections

Real estate finance, PDCs, and collections control

Finance is IRM365's money layer. Activated MOUs and live contracts generate installments, receipts distribute money through RCDs, cheque payments become PDCs until cleared, and payables/payments track broker commissions, refunds, and outbound obligations.

The Finance Workspace

Every billed, collected, uncleared, and paid amount stays connected.

Invoices, receipts, installments, PDCs, RCDs, payables, payments, commissions, and cash flow are linked back to the agreement that created them — so sales, leasing, and finance read the same ledger.

01Installments & Invoices

Turn activated agreements into payable schedules

Installments are generated automatically when an MOU is activated or a lease contract is created or converted. Finance can then invoice selected installments, apply tax rules, and keep every due, unpaid, unrealized, partially realized, realized, terminated, or void status visible.

  • Track installment references, type, due date, gross amount, tax breakdown, and status
  • Create tax invoices against one or many pending installments where invoicing is enabled
  • Generate invoice PDFs with customer, supplier, line items, tax totals, and linked installments
  • Restrict edits once receipts/RCDs exist so historical money records stay reliable

02Receipts & RCDs

Allocate received money to the exact installments it pays

A receipt records money in. RCDs connect that receipt — and any cheque on it — to the installments it settles. This is what keeps agreement balances, receipt PDFs, and installment statuses accurate even when one receipt pays multiple installments.

  • Record cash, bank transfer, online, or cheque receipts from the agreement quick actions
  • Distribute one receipt across one or many installments through RCD links
  • Keep open receipts visible until undistributed money is allocated
  • Update installments to realized, partially realized, unrealized, or partially unrealized based on cash/cheque state

Control cheques and money-out obligations without side spreadsheets

Future-dated cheque receipts become PDCs automatically. When they clear, bounce, withdraw, or get replaced, linked RCDs, receipts, and installments recalculate. On the money-out side, payables and payments track broker commissions, refunds, and other obligations from the source agreement.

  • Filter PDCs by customer, bank, date range, status, amount, and linked agreement
  • Clear, bounce, withdraw, void, or replace cheques with downstream recalculation
  • Manage broker commission, refund, and operational payables through partial or full payments
  • Track manual cash movements and reconcile reports across money-in and money-out
