The number agents already use
Connect an existing WhatsApp Business number. It doesn't change, and the Business app keeps working as before.
Each agent connects the WhatsApp Business number they already use. From then on, conversations with leads are written to the lead's timeline automatically, in both directions, and count as contact the same way a call does. The number doesn't change, the app keeps working, and messages with anyone who isn't a lead are discarded the moment they arrive.

From Settings → WhatsApp, an agent signs in through Meta, chooses the company's business portfolio, and selects their existing number from the list. Connections are personal, not shared across the team. Connecting changes a few things in the agent's own app, and IRM365 says so before they confirm — all of it reverses on disconnect.
Once connected, messages with a lead are written to that lead's timeline automatically — the ones the agent sends from the phone and the ones the client sends back. A run of messages becomes a single WhatsApp conversation activity, so the timeline stays readable, and the client's reply is detected without anyone logging it.
Messages are matched to leads by phone number. A conversation with family, friends, suppliers or anyone else who isn't a lead is discarded the moment it arrives and is never stored. If a lead messages from a different number than the one on their record, that conversation isn't recorded either.
Matched by phone number. Calls are never recorded. Converted, merged, duplicate and junk leads aren't matched; lost and unqualified leads still are — a message from one is the lead coming back.
Every recorded message moves the lead's last-contacted date, so WhatsApp work stops being invisible to managers. Response-time credit goes only to the lead's assigned agent, the same rule as any other activity. From the lead, Send WhatsApp opens the chat with a first message already filled in from the portal enquiry.
It records conversations with leads; it doesn't create leads, send messages for you, or read anyone else's chats. Group chats and calls are never recorded.

Messages the agent sends from the phone and messages the client sends both arrive on the lead's timeline.
Messages within 30 minutes of each other join one activity, with the exchange readable inside it.
A client's reply flips the activity from Sent to Client Replied and marks the lead contacted.
Only numbers that match a lead are recorded. Everything else is discarded on arrival and never stored.
Each agent connects their own number and can disconnect at any time, from IRM365 or from the app.
